One Intuit Login - One login to rule them all!!
If I had a nickel for every time there was confusion about an Intuit Login, you wouldn't be reading this article because I'd be retired. Managing logins and passwords has become a full-time job. Intuit's login system adds complexity due to the various services that can be linked to a single login, the timing of login creation, and the interaction with third-party apps. Navigating your Intuit account is crucial for accessing services like QuickBooks and TurboTax. This guide will walk you through everything you need to know about managing your Intuit logins effectively.
What is an Intuit Account? An Intuit login account serves as your universal key to accessing various Intuit services. With a single User ID and password, you can log into multiple platforms, view orders, and manage your products. If you haven't created an account yet, now is the time to do so! Ideally, you should only need one Intuit login to access all their systems, but this is rarely the case. Why? Depending on the service or platform, the login creation experience can vary.
Accounts vs. Accounts vs. Accounts
One word that means multiple things is terribly confusing. Intuit and the world of QuickBooks is no different. Take the words, "deposit," "bill," or "invoice." Unless explicit, you aren't any clearer on what type of deposit, bill, or invoice you are referring to. Do you mean an invoice or a customer or vendor? they have very different workflows depending on which you are referring to.
Intuit "Accounts" is another one of those words. We could be talking about an account on the general ledger, a credit balance account for a customer, or a host of other meanings in terms of accounting, but in the context of a login we want to draw a distinction between the login "account" and the product or service that login is trying to access.
When you try to sign into anything Intuit. You will need a login. That login is like your driver's license. It proves your identity and allows you to legally drive, but that license will not get you from place to place. You will need a vehicle to do that. The login is an account, but its only purpose is associate a login with a person to be able to access Intuit products and services. The main components of that Intuit Login "Account" are:
- Login Name
- Email Address
- Personal Contact Information
- Password
Isn't My Email Address My Login?
The short answer is "Kinda Sorta Yes." Login Name (User ID's) need to be unique, and (usually) an email address is unique to a person, so logically an email address would be a great option for a login name. For the most part, that is correct, however the variety of ways that a login is created could cause a problem with that, but that is a more advanced topic which we'll discuss later. The main concept to takeaway here is that a login name and an email address are two separate fields in terms of an Intuit Login account. They can be the same thing, that is, your username CAN be the same as your email address, but the login name (as long as it is unique) can really be anything you want.
Creating and Accessing Your Account: The process of setting up an Intuit login account is simple. During your first purchase, you’ll be prompted to create a unique User ID and Password. This is crucial for managing your account online and accessing all your Intuit services in one place.
Managing Account Information: Keeping your account details up-to-date is vital. Whether you need to change your payment method or update your company information, you can do it all online at www.quickbooks.com/account. Simply log in, select the information you want to edit, and follow the prompts. Some changes, like altering your company name, may require contacting support.
Troubleshooting Common Issues: If you forget your User ID or Password, don't panic. Visit the QuickBooks account page, select "I forgot my user ID or password," and follow the instructions to recover your credentials. Ensure your email is current to avoid access issues.
Security and Access: Security is a top priority. While your Intuit account login is universal, services like the ProAdvisor site may require additional verification. Protect your account by keeping your login credentials secure and enabling two-factor authentication where possible.

- QuickBooks Payments - Accepting Credit Card and ACH Payments from Customer - Also accepting mobile payments through the GoPayment App

- QuickBooks Time - (Formally T-Sheets)Time Tracking software
- Mailchimp - (Intuit Acquired) Email Marketing service
- Intuit Online Payroll - (Formally Paycycle) Legacy Payroll platform that ultimately became QBO Payroll
Login vs Access to Services
Now that you have a Driver's License (Login Account), you will use that in order to get some vehicles (Intuit Services). Now here is where things get complicated. Within each of those services, there are access rights, roles, and permissions. Intuit refers to these roles as "Personas"
Personas
The roles and permissions for the various Intuit products and services is called a Persona. This is a complicated way of describing what you will experience when logging into these Intuit sites. Access to these various services are going to have contact information including, you guessed it, an email address. That email address will be the email that is used to correspond to that user for that service. Again, in theory, the email of the Persona and the email address of the Login should, and usually do, match. However sometimes when people are modifying their email address, they are actually changing the email address of the persona and not the login or vice versa.
Common Personas
There are some Intuit specific Personas that we want to define:
- Primary Admin - The Owner of the Product or service There is only one Primary Admin.
- Company Admin - User with full access to the product or service, but is not the Primary Admin. There can be multiple Company Admins
- Standard User - Invited users who will have a variety of roles assigned to them
Primary Admin
To Intuit, the Primary Admin is the persona who owns the service. In reality, the Primary Admin is the first user to sign into an Intuit Product or service. So you can see how this can conflict with each other. Often times the owner and the first person to log into something are not the same person. Maybe the Accountant set up a QBO Subscription on behalf of their client, or the owner of a company asks the office manager to set up the payroll service, or Merchant account, or.....well you get the idea.
The Primary Admin is going to receive emails regarding that subscription. Adding users, billing notifications, are just some of the few notifications that only the primary admin will receive. You don't have to prove you own the company to become the Primary Admin, you simply just sign into the Product or Service. It is more complicated to change who that login is tied to after the fact can get complicated. Especially if that user is not available or uncooperative.
Primary or Company Admin
A Company Admin will have full access to the product or service include managing the subscription and Inviting and modifying users, with one exception, they cannot modify anything about the Primary Admin. That is the one user that is only editable by the Primary Admin user themselves. Sometimes being a Company Admin is not enough. You'll need to be the Primary Admin to do certain task.
Useful Sites to Manage Your Login/Services
- CAMPS - this is the main site that allows you to access all of the services that are associated with your Intuit login. When you sign into CAMPS you'll be presented with service portals to manage. The QuickBooks Desktop is where you will see the Intuit Customer Accounts that this login has access to (yes there could and probably are many.
Once signed in you will see a screen much like this one below. Here are the tasks you can do on this site:
- Accounts.intuit.com - This is the main site to go to to manage your login. You can likely access this site from many Intuit Sites and services, or you can access the site directly. Here are the main tasks you can do
- Edit Login Name/User ID
- Edit update Email Address
- Update Password
- Update MFA Preferences and Phone numbers to send the code.
Do I need an Intuit login for QB Desktop?
In the past you didn't need to have an Intuit login working in QB Desktop, but now you do, or at least you should. As services are tied to the desktop company and an extra layer of security if the file is compromised, an Intuit login associated to every desktop company file user is recommended.
When Login's Attack!! Situations and the Steps to Correct them
Resetting Password
Any login site will have a "Forgot Password" link which will send you a password reset link. It's important to know that this will only work if the phone number and email address on file needs to be accessible. If the contact information on the login is not accurate you will need to correct that first before reseting the password.
If you can’t remember your User ID or Password, follow these steps:
- Go to www.quickbooks.com/account.
- Select I forgot my user ID or password.
- Follow the steps to retrieve your Password or User ID.
- Try to log in again
Updating Email Address for Login when you have access to the old email address
Keep in mind that this is updating the email when you can login. You will need to be able to login in order to update the email address. If you don't have access to the email address on file, you will need to go through the recovery process which will require proof of identity.
Follow these steps to change your Intuit Account credentials directly in the Intuit Account Manager:
- Sign in to the Intuit Account Manager. Use your sign-in info for QuickBooks, TurboTax, Credit Karma, or our professional tax products.
- Select the Sign in & security menu.
- Select the User ID, Email address, Password, or Phone section.
- Make your changes.
- When you're done, select Save.
Updating email address for Persona
Knowing that the e-mail address for the login is different than the Persona, these can be edited independently of one another. If there is a mismatch or a reason to change these independently of each other you would need to edit the contact information in the users section of whatever service you are using.
Manage user roles or permissions in QuickBooks Online
- Select Settings ⚙, then select Manage users.
- Find the user you want to edit, then select Edit in the Action column.
- You can change the user role from the Roles ▼ dropdown.
- You can't edit the Time tracking only roles. Instead, delete them, then add them again with the correct role.
- You can edit the name or email address if necessary
- Select the account management settings you want to manage.
- Select Save.
NOTE: This does not change or alter the login or user name that is currently connected to this persona, it will update the contact information and roles and permission within that product or service.
Updating Email address when you don't have access to the prior email
If you lost or forgot your user ID and password, and no longer have access to your phone or email on file, use the account recovery form in this section. Intuit will process your request within one business day. Their business hours are M-F, 8 AM to 5 PM PT.
For your security, only you can make changes to your Intuit Account. Intuit's support team doesn't have access to update or modify your account information.
- Take a high-quality photo or scan of your driver's license, state ID, passport, or notarized document.
- Fill out the form below with your info, and upload your ID or document.
- Within one business day, look for an email from [email protected] with the next steps. If we approve your request, you'll receive a link to reset your password.
Transferring Primary Admin (When the Primary Admin is available to login)
The primary admin is the main user who has access to every part of the QuickBooks account. This user type has the highest level of permissions. They can manage all users and other admin tasks. By default, the primary admin is the person who set up the account.
If you need to change the primary admin, here’s how to transfer this role to another QuickBooks user.
Note: If you’re using QuickBooks Online Simple Start, contact us to transfer the primary admin.
Assign the new primary admin
You can transfer the primary admin role to an existing QuickBooks user. Or, if the person isn’t a QuickBooks user yet, you can add them as a new user. Then, transfer the primary admin role to them after they’re added.
Note: If you’re an accountant, you must be the primary admin of your firm to change the primary admin role in a client’s account.
Change primary admin
- Sign in to QuickBooks Online as the current primary admin.
- Select Settings ⚙.
- Select Manage users.
- Find the user you want to make the primary admin. They will need to be a Company Admin
- In the Role column, make sure they are listed as Admin. If they’re not, select Edit to change their role to admin.
- Select the ellipsis ⋮ icon in the Action section. Then, select Change primary admin.
- Select Change primary admin again to confirm the change.
- Sign out of QuickBooks.
When the user gets the invitation email, ask them to select the link and accept the invitation to be the primary admin. The transfer will not be completed until this step is done.
Changing Primary Admin when the Primary Admin is not responsive or available
You must be able to sign in as the primary admin to transfer the primary admin role as listed above. If the current primary admin is no longer with the company, you can request to be the primary admin.
This process is a legal process and the expected turnaround time is 7-10 business days.
